Our skilled staff is fluent in Italian, English, and German, and we have well established relationships with all Italian regional consulates and religious authorities. Although we specialize in planning Civil, Symbolic, Catholic, and Jewish weddings, we have also planned many Hindu, Protestant, and Interfaith weddings throughout Italy.

How many weddings do you plan in a year and how do you manage your workload?

A Sposiamovi wedding coordinator plans and executes, on average, 6 to 8 weddings per year, ensuring each of our clients have our full attention throughout the duration of their wedding planning experience. In the weeks leading up to your special event, your Sposiamovi coordinator dedicates themselves to you and your guests, providing full-time assistance to you whenever and wherever you may need it. 

Sposiamovi is committed to quality, bespoke wedding and event services, which means we choose only to plan a limited number of events every year.

What part of the planning are we responsible for? How much does the coordinator carry out on our behalf vs what we have to do for ourselves? 

We take the responsibility of creating the perfect event very seriously. 

Our team of expert coordinators will take the lead on all aspects of the planning process, working with you to ensure that every detail is executed with the utmost care and professionalism. Overall, as your wedding coordinators, we take on a significant portion of the planning process, allowing you to enjoy the experience without any undue stress or worry. 

However, the wedding day belongs to you and it is important for you to be involved in the process as much as you want. Hence, we will always provide regular updates and communicate with you throughout the entire planning journey.

As clients, you will be responsible for various aspects of the planning process. 

First: You will work with the planner to establish a clear budget direction that aligns with your preferences and expectations. This helps us to identify vendors and services that best fit your needs and budget.

Second: While we assist with guest management, we will require a list of guests and contacts to ensure that all RSVPs are accounted for, and guests are properly accommodated on the day of the events.

Third: We require prompt and detailed feedback on all proposals of service, design boards, and your personal preferences. This is crucial in ensuring that your wedding vision is translated accurately and precisely.

Fourth: You will be required to revise all contracts and ensure that they are suitable for approval and assist in all payment-related matters.

We do not, however, deal with airline ticketing or dress shopping as these fall outside of our scope of service.

In which activities are you directly involved leading up to and during the wedding?

Choosing Sposiamovi to plan your wedding means you can expect full assistance and expertise every step of the way. 

Our process involves getting to know our clients first, their story, priorities, and wishes. 
We want to create a wedding that truly reflects your personality and style. 

After garnering a better understanding of your vision, we get to work on finalizing the venues. Our goal is to assure each location is not only beautiful, but also practical for both you and your guests. We then select hotels for your guests and create a personalized website that can be sent to guests via save the dates or invitations, allowing us to keep everyone informed of relevant information. 

Our team then works with you to create a design mood board that reflects your desired aesthetic. Sposiamovi believes that the ambiance and decor are crucial elements that create a lasting impression on your wedding day. 

With the design agreed upon, we then assist in your selection of individual services, such as caterers, florists, musicians, photographers/videographers, beauty professionals, and other service suppliers, providing recommendations based on your specific needs. Each selected vendor will align with your vision, style, and budget, and our well-established relationships with our curated list of local vendors allow for seamless vendor communication and payments. 

How many times will we meet in person before the wedding? Can you still plan our wedding if we don’t have the opportunity to visit before our wedding week? 

We understand that many couples have complex schedules and may not be able to visit Italy in person before their wedding week. We are happy to offer a range of services to ensure you are fully supported with our special expertise in order to plan your dream Italian wedding, no matter where you are based across the globe. 

If you are able to make pre-visits, we typically have three in-person meetings ahead of your big day. During your first visit, you will meet with your wedding coordinator, who will show you potential wedding venues and offer their firsthand experience and advice. This gives you a clear idea of what your event could look like and helps you decide on the perfect Italian wedding venue.

The second meeting usually takes place half way through the planning process. You’ll have the opportunity to sample food, do makeup and hair trials, see flower designs, and meet with vendors such as photographers, videographers, and musicians. This ensures that all the moving pieces are in the right place and that you are entirely satisfied with all of the arranged services. 

The final meeting takes place upon your arrival, just before your big event. We will thoroughly go through your rehearsal, the overall flow of the wedding day, recap all of the services, and share with you the program of events. Our goal is for everyone to know what they need to do, where they need to be, and when they need to be there, ensuring your wedding day runs smoothly and is entirely stress free. 

Even if you are unable to visit Italy before your wedding week, the Sposiamovi team will still help to plan your dream wedding. With the assistance of modern technology such as Zoom/Meet/WhatsApp, we make sure that we have all the information we need to craft a beautiful and memorable event. We also provide frequent updates and check-ins via email and phone, so you feel supported every step of the way, even from a distance.

How is your fee charged and how do you estimate the costs?

It is first important to emphasize that Sposiamovi’s fees are based on the complexity of your wedding event, the number of people involved, the location, and the services you require. When determining this scope, we take into account various factors such as the amount of linked events that need to be planned and coordinated, the overall timeline of your wedding festivities, and the level of customization you are looking for.

Our available packages are comprehensive, including the services of an experienced wedding planner, a co-planner, wedding day coordinators, as well as a dedicated team for guest management, and concierge services for you and your guests. We also guarantee availability on evenings and weekends if necessary, and we keep in touch with our clients by email, telephone, and Zoom, or similar platforms.

Our services also include all necessary inspections and venue walk-throughs with suppliers and, when possible, with you, in order to guarantee optimum event organization and your overall satisfaction. Throughout the duration of the process, we provide you with regular wedding reports and an updated budget to keep you on track and in the loop.

In regards to estimation of costs, we dedicate time to have a detailed phone chat with all clients to better understand their needs, preferences, and requirements. We want to know you, as a couple, your vision, and your budget to better provide you with a tailored proposal that meets expectations and needs.

Can I use vendors not suggested by Sposiamovi?

We are open to working with vendors outside of our recommendation list. However, we want to ensure that the vendors you choose will complement our high standards.

We have teams of professional vendors who have worked together for many years, and we have hand-selected these vendors based on their special ability to deliver unmatched, exceptional service and high quality work. We cannot guarantee the same level of expertise with vendors we have not worked with or vetted ourselves.

Nevertheless, we completely understand that you may have personal preferences or special requests, and the Sposiamovi team is always striving to accommodate your wishes. If you have a vendor in mind, we are happy to review their portfolio and work with you to determine if they meet our standards.

We do ask that for certain key vendors, such as the flower designer, sound and lighting, and general set-up, that may have a significant impact on the event's outcome, we have the final say. This allows us to ensure that everything matches the overall vision for your wedding day.
